Minutes Reduced to Seconds

The Challenge

The client received 2,000+ supplier invoices per day in varying formats (PDF, scanned images, emails). A team of 8 data-entry clerks manually typed each invoice into the accounting system — a process taking 3–5 minutes per invoice. Errors occurred in 8% of entries, requiring a separate review team to catch and correct them. The annual cost of manual processing exceeded $400,000.

Our Solution

We built an end-to-end AI invoice processing pipeline:

• Invoices received via email, scan, or upload are automatically queued for processing
• Azure Form Recogniser performs OCR to extract raw text and structure from any format
• OpenAI validates and normalises the extracted data (customer, date, amount, line items, VAT)
• Confidence scoring flags low-confidence extractions for human review
• An approval workflow routes invoices to the appropriate approver based on amount and department
• On approval, the system posts directly to the accounting system via API
